ACADEMIC DOCUMENTS & ENTERPRISE MANAGEMENT
ADMS Academic Document Management System
The Academic Document Management System (ADMS) is a custom-built web application designed to simplify how colleges organize, manage, and maintain faculty academic and professional documents. The platform provides a centralized digital repository where staff can upload, organize, access, and manage their certificates and academic records. With department-level document oversight, role-based access control, secure cloud storage, and document lifecycle management, the system replaces fragmented document handling with a structured digital workflow. Built using HTML, CSS, JavaScript, Laravel, PHP, and MySQL, with private AWS S3 storage, ADMS brings document security, accessibility, accountability, and administrative visibility into a single platform.

Managing faculty certificates and academic documents through traditional file storage and manual processes can make it difficult to maintain organized records, locate specific documents, monitor document changes, and control access across departments. Institutions need a centralized system that allows staff to manage their own documents while enabling department heads and administrators to oversee records according to their responsibilities. ADMS was developed to address these challenges by digitizing document management, introducing structured access permissions, and providing a centralized system for storing and retrieving academic records.
We developed ADMS as a centralized academic document management platform with clearly defined responsibilities for administrators, department heads, and staff.
Administrators can manage users, departments, document categories, and institution-wide data. Department heads receive department-level oversight of staff and documents, while staff can manage their own academic and professional records.
The application combines structured document categories and dynamic metadata, secure authentication, private AWS S3 file storage, signed download URLs, document versioning, audit logging, and a recycle bin with automated retention handling.
The result is a structured document management environment designed to improve accessibility, accountability, and administrative efficiency.
